How much IT work does agent matching take for a collection agency?
Close to none. What BestPair needs is the results your floor already produces, sent by encrypted SFTP to a folder BestPair provides, never by email. The matching is calculated off-site by BestPair, so nothing is installed or hosted in your environment. IT exchanges SFTP keys once; after that, in Stage 2, a daily assignment file comes back and your floor loads it the way it loads lists today.

What arrives, and how
BestPair learns from the files your floor already produces: calls with the collector’s agent ID, the account ID, the date and time and the outcome, payments linked to account ID, a roster of collectors, and account details such as balance, days delinquent, placement date, consumer age band, state and ZIP code. The full list, and what is never needed.
The files arrive by encrypted SFTP to a folder BestPair provides, never by email. Your IT team exchanges SFTP keys with BestPair once, and after that your system drops the files in the folder on a schedule.
| Step | What happens | When |
|---|---|---|
| History pull | Up to 24 months of history arrives by SFTP | Once, at the start |
| File check | BestPair checks the files; when they pass, that date is the Data Received Date | Within 2 business days |
| Floor Assessment report | The report on your own data | Due 4 weeks after the Data Received Date |
| Stage 2 | Your files arrive and a daily assignment file comes back | Daily |
The matching itself runs off-site, at BestPair.
Who does what
| Task | Your team | BestPair |
|---|---|---|
| Export the results file | Runs the report the floor already runs | Agrees the format and checks every file |
| Set up the transfer | IT exchanges SFTP keys, once | Provides the SFTP folder |
| Clean, join and model the data | Nothing | Off-site |
| Load assignments | Loads the daily assignment file the way lists are loaded today | Posts the daily assignment file |
| Update the model | Nothing | About once a month, weekly in the first couple of weeks |
| Measure against the control group | Reads the monthly statement | Scores both groups every month |
| Make the calls | Your collectors | Never |
Scripts, offers and contact rules stay with your team. BestPair changes which collector works which account and nothing else.
Where IT time actually goes
The transfer is quick to set up. The time that slips usually goes on two things:
- Joining data that lives in two systems. Calls sit in the dialer and payments in the collection system. Both need the same account ID, and agent IDs in the dialer need to match the roster. A short mapping table settles it.
- Data pulls queued behind other work. A history export competes with every other deployment on the IT list. Name one owner on your side and agree a date.
If pulling the full history means lookups across several systems, say so at the start. BestPair uses up to 24 months, and you can agree to begin with what exports cleanly and add the rest later.
How often the model is updated
About once a month, and weekly in the first couple of weeks, while the model settles on your floor. Updates need nothing from IT beyond the daily files arriving on schedule. A file that arrives late means assignments built on older data, so a fixed schedule matters more than speed.

Common follow-up questions
Do you need direct access to our database or collection system?
No. BestPair works from the files you send, and your team decides what goes in them. Account IDs are your own, and consumer names, phone numbers and Social Security numbers are never needed.
Does agent matching need a real-time integration?
No. Daily files are enough to build the model and post assignments. Other routes, including an API, can be agreed; an API is the long-term setup.
Do we need a data scientist on staff?
No. BestPair builds the model, updates it and measures it against a control group. Your team needs someone who can run the floor’s usual reports and someone who can answer questions about outcome codes.

Would it be a bad idea to spend 45 minutes finding out?
If your shop does not qualify, you will hear it on the call, not after you have paid for a report.
